More and more information is being shared via the Internet, particularly through the use of e-mail. We wish to provide an organized framework and a set of guidelines and expectations to ensure appropriate and consistent use of provider/patient e-mail at Spectrum Eye Care, Inc, PS.
Conditions for the Use of E-mail
To use this system, you will have to enter information about yourself that will be sent to us across the Internet. This information will not be encrypted but will be no less secure than a normal email. SPECTRUM EYE CARE, INC, PS, will use reasonable means to protect the security and confidentiality of e-mail information sent and received. However, SPECTRUM EYE CARE, INC, PS, cannot guarantee the security and confidentiality of e-mail communication, and will not be liable for improper disclosure of confidential information. SPECTRUM EYE CARE, INC, PS, will not accept responsibility for any time delay occurring due to an Internet Server connection failure. Thus, implied patient consent to the use of e-mail is as follows when you send an email to SPECTRUM EYE CARE, INC, PS:
SPECTRUM EYE CARE, INC, PS, may use and/or accept e-mail: regarding cancellation of appointments (at least 24 hours notice to be given), queries relating to practice boundaries or any queries relating to registration of new patients (but not actual registration), any general enquiries on services offered by Spectrum Eye Care, Inc, PS, and/or any other information of a non-medical nature i.e. change of address/new telephone numbers etc. In order to receive comments from patients - compliments, concerns, suggestions and/or requests for forms to release or transfer a medical record, communicate information about SPECTRUM EYE CARE, INC, PS, policy and procedures, communicate information such as a patient newsletter, seminar/event notification and registration, medical or drug alerts, announcements, disaster information, new services, new staff, etc.
SPECTRUM EYE CARE, INC, PS, may forward patient e-mails internally to our staff.
SPECTRUM EYE CARE, INC, PS, may forward e-mails to independent third parties without your prior written consent as authorized or required by law.
SPECTRUM EYE CARE, INC, PS, will NOT accept, use and/or provide through email: any form of medical symptoms, consultation or concerns and any e-mails from relatives or outside agencies asking for medical information on patients. Staff may not give out any test results or medical information via email. SPECTRUM EYE CARE, INC, PS, doctors will not answer any medical queries via email.
Incoming email may not go directly to the doctor but may be administered by one of our non-physician staff. DO NOT use e-mail for medical emergencies or other time sensitive matters. You should not use e-mail to communicate medical information, particularly sensitive medical information. This medium does not constitute a consultation.
SPECTRUM EYE CARE, INC, PS, is not liable for breaches of confidentiality caused by you or any third party.
Instructions
To communicate by e-mail, you are required to: Limit or avoid the use of your employer’s computer and put your full name in the body of the e-mail text and the category of the message on the subject line i.e.: billing, seminar registration, etc. so SPECTRUM EYE CARE, INC, PS, can forward to the appropriate department.
Response Time
A SPECTRUM EYE CARE, INC, PS, representative will respond to the e-mail message in a reasonable amount of time. This will usually be within 24 hours during the normal workweek and by Monday morning for those messages sent Friday, Saturday or Sunday. If you need a prompt response, please do not email us. Transmitting information by e-mail has some risks that you should consider before using e-mail. These include, but are not limited to: E-mail can be circulated, forwarded and stored in paper and electronic files. Backup copies of e-mail may exist even after the sender or recipient had deleted his copy. E-mail can be intercepted, altered, forwarded, or used without authorization or detection. E-mail is easier to falsify than handwritten or signed documents. E-mail senders can easily misaddress an e-mail. E-mail can be used as evidence in court.
